Before using scheduling our service engineers had to travel to the office either first thing each morning or at the end of the day. This was because they needed to bring in the job sheets for finished jobs along with cheques or cash they had collected in payments and importantly collect the job sheets for the next batch of jobs.
This travelling took time out of their day and in their minds was a real drag at the end of a long day having to travel back to the office.
The situation has changed so much since we began using the job scheduling. Now our engineers can access job sheets immediately as and when they need them. They have the contact details of the customer, the type of job and a full and detailed description of the job requirements.
When a job is completed the customer now signs on the engineer’s phone or tablet. As soon as this is done the job is updated instantly on our database. Before we used the job scheduling, when the paperwork arrived back at our office, we had to input and update the customers records manually into our old database. This has saved so much time and the team who used update the completed job sheets details into the database now spend their time more productively in helping with our marketing and social media posts. This has meant we have increased our presence online and this has raised the awareness of our product range and our services. We have seen a significant increase in the number of jobs we are booking each month.
Another advantage is that previously when our engineer had finished the job they would call the office who would prepare an invoice. If a customer wanted to pay by card the engineer would give them the phone and we would take payment at the office. Now our engineer is able to prepare an invoice and even take a card payment on their phone. We have found this a real time saver as far as the customer is concerned because sometimes getting through to the office and then arranging the payment could take quite some time. Now the paperwork is completed when our engineer leaves the customer.
Our regular monthly customers are still billed from the office and even this is faster now because as soon as the customer has signed off the job and the job is set as completed we are able to process the invoice and send this out.
